Placement Approval Process

What to do once you’ve been offered a role?

As soon as you accept a work placement position (and within 6-8 weeks of your start date at work) that meets the LUBS Year in Industry criteria, let the LUBS Work Placements team know so we can begin the approval process.

  • Name:
  • Degree:
  • Employer and job title:
  • Expected start date (or if not yet known, expected start month):

You will then be asked to a complete a form on MyCareer for the LUBS8001 Training in the Workplace Module. Here you will be requested to upload more information about our placement. See the Placement Approval Process Details section below for more info.

This is a basic outline and not exhaustive. It does not include every aspect of the approval process and is subject to change depending on individual student and employer situations. Those with additional considerations such as international students, or those with overseas placements will require additional processes.

Placement Approval Overview

  1. Provisionally accept the placement offer from the employer.
  2. Notify the LUBS Work Placements Team
  3. Submit details of your placement to the form on MyCareer.
  4. The LUBS Placement team will assess the information given and either:
  1. Approved in principle – your placement will be provisionally accepted and you will receive an email with further instructions.
    Placement changes requested – you’ll receive an email with amendments you will need to make to your submission.
    Placement rejected – you’ll receive an email to say the placement is not acceptable for the module, and you’ll need to secure a new placement.
  1. Complete the online Tripartite Health and Safety Agreement form that will be emailed to you.
  2. Attend the two compulsory Pre-Placement Briefings from the LUBS Work Placement Team, and the compulsory HSE talk from the central university team, or if this date is passed review these (we will send these to you in an email or you can view them in the MS Teams module area)
  3. Respond to any additional requests.
  4. We will send you confirmation that your placement is fully approved (subject to progression and visa requirements being met).
  5. Once exam results are confirmed we will then update your degree programme to the 4-year Industrial variant and enrol you in the LUBS8001 Training in the Workplace module.

Placement Approval Process Details

  1. Provisionally accept the placement offer from the employer

To begin the placement approval process, you need to provisionally accept a placement offer from your employer. This typically means signing a contract, or replying to an email confirming that you accept their offer of a placement. If your potential employer requires any additional information or documentation from the University, please email LUBS Work Placements team outlining the employers name and contact details, and the information they need.

 

  1. Submit details of your placement

Once you have secured a placement, notify us by an email and submit the details on the online placement details form.

To complete this form, you will need details of your placement, including:

  • Company Address (both Head Office and site address, if different)
  • Employer / Line manager / HR Contact Details
    • If you do not have these details until closer to your start date, provide the HR contact or the person you are in contact with and update us as soon as you have the correct details.
  • Job Description
  • Request an official job description from the company if you do not have one.
  • Contract and/or Offer
    • We prefer to see both a job contract and job offer
  • Start and End Dates
  • Working Hours
  • Salary/Payment
  • A personal wellbeing and support check
    • This section helps us determine if you need extra support from the University or reasonable adjustments during your placement. Information shared will not be given to employers.

If you haven’t got all of the information yet, don’t worry. You can start the form and save it as a draft.

 

  1. Complete the Tripartite Agreement form

After submitting your placement details to MyCareer, our team will review them and apply one of the following actions:

  • Provisionally Approved
  • In Need of Changes
  • Rejected

If provisionally approved, you will receive an email asking you to complete the Tripartite Agreement online form. This health and safety document forms an agreement between you, your placement provider, and the University of Leeds, and is essential for full approval of your placement.

The form will also be sent directly to your placement provider for them to complete separately.

We will review the risk information provided by you and your employer. If there are any concerns in the risk assessment, we will contact you or your employer for further information. Your placement can only proceed if we deem any risks to be controlled.

 

  1. Attend the compulsory Pre-Placement Briefings

Attend or watch our pre-placement briefings to fully approve your placement.

These briefings will be held in May-June, and you will be notified of the dates.

Additionally, the central university team runs a compulsory HSE briefing, along with three other talks covering

  • Wellbeing on Placement
  • Student Finance
  • Advice from Previous Students

Links to these will be shared once dates are set.

Once we have all the required paperwork from you and your employer, have completed the Risk Management Action Plan, and confirmed you have watched the pre-departure briefing, we will send you confirmation that your placement is fully approved (subject to progression and visa requirements being met).

 

  1. After receiving a confirmation of full approval

Once exam results are confirmed, our team will request a Change of Programme on your behalf, transferring you to the industrial variant of your degree and enrolling you onto our placement module.

Tier 4 students have additional considerations, and our team will liaise with the Student Immigration Compliance Team to ensure all visa requirements are met.
