Placement Approval Process

What to do once you’ve been offered a role?

As soon as you accept a work placement position (and within 6-8 weeks of your start date at work) that meets the LUBS Year in Industry criteria, let the LUBS Work Placements team know (LUBSPlacements@leeds.ac.uk) so we can begin the approval process.

Include your:

  • Name
  • Degree
  • Employer and job title
  • Expected start date (or if not yet known, expected start month)

You will then be asked to a complete a form on MyCareer for the LUBS8001 Training in the Workplace Module. Here you will be requested to upload the following information:

  • Company Address (both Head Office and site address, if different)
  • Employer / HR Contact Details
  • Job Description – you’ll need to request an official one from the company if you do not have a copy
  • Contract and/or Offer
  • Start and end dates
  • Working hours
  • Salary/payment
  • A personal welling and support check

This is a basic outline and not exhaustive. It does not include every aspect of the approval process and is subject to change depending on individual student and employer situations. Those with additional considerations such as international students, or those with overseas placements will require additional processes.

  1. Provisionally accept the placement offer from the employer.
  2. Notify LUBSPlacements@leeds.ac.uk
  3. Submit details of your placement to the form on MyCareer.
    • This includes answering well-being questions and providing information on a contact at the placement provider, uploading your job description, and job contract.
  4. The LUBS Placement team will assess the information given and either:
    • Approved in principle– your placement will be provisionally accepted and you will receive an email with further instructions.
    • Placement changes requested – you’ll receive an email with amendments you will need to make to your submission.
    • Placement rejected– you’ll receive an email to say the placement is not acceptable for the module, and you’ll need to secure a new placement.

Once your placement details are Approved in Principle, complete the online Tripartite Health and Safety Agreement form that will be emailed to you.

Attend the 2 compulsory Pre-Placement Briefings, or if this date is passed review these in the module area.

You will also be asked to follow guidance from the central university, including other talks and forms.

Once you have completed all the steps outlined above, including responding to any additional requests, and we have received all required paperwork, confirmed that you meet the progression and visa requirements, and obtained approval from any other relevant teams, we can then fully approve your placement. We will then update your degree program to the 4-year Industrial variant and enrol you in the LUBS8001 Training in the Workplace module.

This process requires input from several teams across the university so please be patient.
